Element Recruitment are partnering with a well-established business in North Bristol on their search for a Receptionist / Administrator to join their team.

This is a varied and responsible role that combines front-of-house reception duties and office administration support to key areas of the business ensuring the smooth day-to-day operation of the practice and maintaining high standards of client service.

Key Responsibilities

  • Answer, screen and direct incoming calls, emails and enquiries efficiently.
  • Act as the first point of contact for clients, visitors and telephone enquiries, providing a professional and welcoming service.
  • Welcome clients and visitors, ensuring a positive front-of-house experience.
  • Manage meeting room bookings, prepare refreshments and ensure meeting spaces are presented to a high standard.
  • Handle incoming and outgoing post, courier deliveries and general correspondence.
  • Maintain the reception area, client spaces and office presentation.
  • Coordinate appointment scheduling and diary management.
  • Provide day-to-day administrative support to the wider team as required.
  • Assist with legal administration, including document preparation, filing and file management on an ad hoc basis.
  • Support client onboarding, AML/KYC compliance processes and general compliance administration when required.
  • Provide ad hoc assistance with accounts, legal cashiering and financial administration.
  • Assist with general office management, facilities coordination and wider business support as needed.

 

Essential Requirements

  • Strong organisational and time management abilities.
  • High level of accuracy and attention to detail.
  • Good numeracy skills and confidence handling financial information.
  • Proficiency in Microsoft Office, including Outlook, Word and Excel.
  • Ability to work independently and manage competing priorities.
  • Professional, friendly and approachable manner.
  • Confident dealing with clients both in person and over the phone.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
